  Volunteer Guidelines and Key Points   

For Otaku-Matsuri 2017

  
  
 
We at Otaku Matsuri Oklahoma City know how much of a key role Volunteers Play. In light of that, the following are the guidelines you acknowledge when registering to be a Volunteer.
 
  
  • As a volunteer you are expected to maintain a certain level of personal hygiene and appearance while volunteering for Otaku Matsuri 2017. Please remember to: 
    • Shower daily
    • Use deodorant
    • Change your clothes daily
    • Brush your teeth daily
    • And comb your hair
  • As a volunteer you are expected to show up to your shift on time and work the full hours you are scheduled for that shift.  It is your responsibility to:
    • Know you shift schedule
    • Know when you are due breaks
    • Know when you are due lunches
    • And accurately log all of your shifts in your department's schedule log
  • Continuous tardiness or absences for your shifts will result in a permanent blacklist from volunteering at any current and future Otaku Matsuri events.  You will be removed from your volunteer status and receive no reimbursement of a pass.  Tardiness and Absences will only be tolerated for the following:
    • Jury Duty
    • Family Emergencies
    • Death
    • Illness
    • Dr. Appointment
    • School or Work Exams
  • As a volunteer you are representing Otaku Matsuri 2017.  Poor behavior on your part reflects our convention and will not be tolerated.  You are expected to remain:
    • Courteous
    • Kind
    • Polite
    • And professional
  • Behaviors such as:
    • Rudeness
    • Aggressiveness
    • Harassment
    • Violence
    • Misuse of drugs and/or alcohol while on shift
​​may result in a permanent blacklist from volunteering at any current and future Otaku Matsuri Events.  You will also be removed from the convention with no reimbursement of a pass. 

  • An official Otaku Matsuri 2017 volunteer shirt is recommended as an appropriate uniform for your shift.
    • Cosplay is only allowed during your shift if you are a volunteer in the cosplay department
    • Lolita and other J-fashion is only allowed during your shift if you are a volunteer in the J-fashion department.
    • When you are not working a shift, please do not wear your volunteer shirt.

Requirements for being an Otaku Matsuri 2017 volunteer
  • Must be a registered member of Otaku Matsuri 2017 by the time of the convention.
    • Application approvals will not be finalized unless the applicant is a registered member of Otaku Matsuri 2017.
  • Minimum age of 16 by the time of Otaku Matsuri 2017
    • Must have a parent or guardian sign a waiver if under the age of 18 at the time of Otaku Matsuri 2017
  • Minimum of 5 hours per day
  • Maximum of 10 hours per day if under the age of 18
  • Minimum of 25 hours worked during Otaku Matsuri 2017 to receive a free weekend pass. 
    • Passes will be reimbursed after the convention when hours worked have been tallied
    • It is up to you and your department's Director to correctly tally your hours worked
    • Forged hours will result in a permanent blacklist for volunteering at all current and future Otaku Matsuri events.
  • Mandatory of at least ONE
    • Set-up on Thursday Evening/Friday Morning
    • Take-down on Sunday
  • Mandatory of at least ONE
    • Orientation Meeting Thursday Evening
    • Orientation Meeting Friday Morning
  • Mandatory pre-convention meetings may be required for select key volunteers.
    • To be determined by individual department directors

Perks for being an Otaku Matsuri 2017 volunteer
  • All volunteers who work a total of 25 hours or more during Otaku Matsuri 2017 will receive a reimbursement for a full weekend pass. (Five 5 hour shifts)
  • All volunteers will have access to a Volunteer/Staff break room fully stocked with snacks, foods, and beverages to be used during their shifts. 
  • Any volunteer caught abusing the break room will be permanently blacklisted for volunteering at all current and future Otaku Matsuri events.
  • All volunteers will have access to special autograph sessions
  • All volunteers will have late access to the Festival Room
  • Limited Crash Space will be available for volunteers 18 and older who commit to working a minimum of 30 hours for the duration of the convention
  • Other thank you gifts for being a hard worker and working over a certain amount of hours may be given out after the convention
  • Hours worked may count towards volunteer hours needed for school or college
